Intranet Concept and Editorial Process

Content alone does not make a good intranet. Employees need to be able to quickly find what is relevant to them. At the GASAG Group, this had become a real challenge: its information landscape had evolved organically over time, but lacked a structure that made it easy to navigate. Therefore, we analyse priorities, develop a concept with a clear information architecture, optimise editorial processes and create a scalable design system. The result is an intranet that once again becomes a relevant communication channel: one that reaches employees and helps strengthen engagement tangibly. A prerequisite for the successful transformation of GASAG.

Over the years, the GASAG Group’s intranet landscape had grown organically. It was difficult to navigate intuitively, with users getting lost in poorly structured pages and content. The absence of editorial and governance processes made the situation even more challenging.

First, we analyse the existing platform from an organisational, editorial and user-centred perspective. Through stakeholder interviews and a UX/UI audit, we identify pain points in the information architecture, editorial processes and governance.

Based on these insights and requirements, we translate them into an information architecture consistently designed from the user’s perspective: with clearly defined page types and intuitive navigation. A central element is the new “showcases”. They bring together curated content from different areas. Employees no longer see everything, but what matters most.

This curated content delivery requires clear responsibilities. We therefore also develop an editorial and governance model with clear roles, defined processes and more deliberate content governance. This ensures consistent quality while still giving editors the freedom they need. Where information had previously been published largely unfiltered and without clear prioritisation, the new concept follows an editorially driven logic and repositions corporate communications as an active force in shaping the narrative.

A modular design and template system completes the concept. It ensures a consistent user experience and makes content creation noticeably easier. The clickable prototype brings the new structure to life at an early stage and supports its subsequent implementation in SharePoint.

Clear information architecture, defined processes, scalable design: this combination creates the basis for consistent internal communication over the long term. The GASAG Group now has a solid foundation for the structured development of its intranet and for using it effectively as a tool for corporate development.
